The University of Hong Kong (HKU) takes pride to be a dynamic and comprehensive university of world-class standing. Every year, the Vice-Chancellor hosts a Prize Presentation Ceremony for students winning external awards. This annual ceremony is a golden opportunity for us to honour and celebrate the outstanding achievements of some of our finest students, and to inspire the university community to learn from their dedication to excellence.

The Prize Presentation Ceremony 2010 will be held at Loke Yew Hall on Saturday, 10 April 2010 at 6:30 pm. At the Ceremony, students winning external awards will celebrate their achievements and share their joy at a high table dinner with their teachers, friends and family.

How to Register

Students and graduates who meet the criteria below are invited to register for the Prize Presentation Ceremony.

  1. Current full-time undergraduate / postgraduate students or full-time graduates of 2009 who received awards in external competitions during April 2009 to March 2010.
  2. Recipients of awards granted in (a) local (excluding internal competitions); (b) national; (c) regional; or (d) international competitions. Please note that awards should be of significance, i.e. winning senior positions in international or regional competitions; top three or special commendation in local competitions.
  3. Prizes or awards won in sports, business, engineering, architecture, music, science, speech and debating, IT & computing, leadership, literature, research, law, medicine…etc.
  4. Awards given on the basis of participation and merit of an individual / public examinations/ academic scholarships/ participation in extra-curricular activities are not eligible.

To register, please follow the application guidelines below

Step 1: Applicant should complete an appropriate online registration form: (1) International, (2) Regional, (3) National or (4) Local, awards. For group awards, only ONE application by any of your team representatives is required.

Classification of awards:

  1. international: competitions involving 3 or more countries
  2. regional: competitions involving 3 or more regions
  3. national: competitions involving at least half of the total provinces, or of very significant / representative status
  4. local: territory-wide contests in Hong Kong

Step 2: After you have submitted the online registration form, CEDARS will notify you of whether you are eligible to take part in the Ceremony two weeks upon receipt of your registration, or by 19 March 2010. On acceptance of your registration, you should provide copies of your transcripts / diplomas / certificates or other qualification documents for verification as soon as possible, or by 23 March 2010. The documents should be sent by hand or by mail to the Centre of Development and Resources for Students at Rm 408, Meng Wah Complex

Step 3: Upon verification of your awards, CEDARS will invite you to:

  1. provide a short synopsis of your achievements for publication purposes;
  2. provide 5 related photos (e.g. photos of you receiving the award). Please note that the resolution of each photo should be 1600×1280 at least;
  3. provide video clips, if any (resolution should be 320x240 at least);
  4. display the award trophies, certificates, or badges on the day of the Ceremony.

Please note that the synopsis, photos and videos provided by you will be used in our presentations, publications, exhibitions or other publicity channels. All materials should be submitted by email to pc2010@cedars.hku.hk, or by hand to Rm 408, Meng Wah Complex as soon as possible, or by 26 March 2010.

CEDARS will also invite selected students to give a presentation / performance on the award at the Ceremony.

Step 4: Apply for guest tickets and make requests for special meals by 31 March 2010.

Notes to Applicants

Please pay attention to the following notes when filling in the form:

  1. Make sure that you enroll via the online registration system before the deadline.
  2. Provide your latest correspondence address, email address and day-time contact number. We will use these contact details to send you important information about the Ceremony.
  3. Both English and Chinese are required for your names and the names of the competition, the project, and the award.
    1. If the name of the award is available only in one language, please provide the name in the other language using your best translation.
    2. If you have received more than 5 awards, you have to shortlist the top 5.
      1. Criteria you may consider: outstanding achievements:
        • scale and recognition of the competition / award;
        • your achievement in the competition;
        • awards of different nature to showcase your multiple interest and strengths, or awards of the same nature to demonstrate your outstanding achievement in one particular field
  4. All information provided must be true and accurate. You are advised to make a hard copy of the completed registration form for your own reference.
  5. Your provision of data requested in the form is obligatory as CEDARS will not be able to assess an application without complete information on the competitions, awards and proofs of the awards. CEDARS reserves the right to reject an application in case of insufficient and / or incomplete information.

Code of Ethics and Responsibilities of Students Attending the Ceremony

The Prize Presentation Ceremony 2010 will be held for students winning external awards from 6:30 pm to 9:30 pm on Saturday, 10 April 2010 at Loke Yew Hall. This event serves to recognise and celebrate the achievements of students winning external award. Students who have registered for the Ceremony must abide by the following code of ethics:

Absence

  1. As all award recipients attending the Ceremony will be presented to the Vice- Chancellor or his representative, the absence of any one recipient without prior notice is strictly prohibited as it may cause drastic confusion to the flow of the whole Ceremony. Please honour your commitment once you have indicated your intention to attend the Ceremony.
  2. If you are unable to attend the Ceremony due to sickness or unforeseeable circumstance, please inform us at <pc2010@cedars.hku.hk> as soon as possible.

Rehearsal

  1. A rehearsal will be conducted to ensure a smooth ceremony. All awardees are required to arrive at Loke Yew Hall at 2:30 pm sharp for a 15-minute briefing, which will be followed by the rehearsal. The rehearsal will last until 4:00 pm. Next, all awardees should register before 5:30 pm and be seated as assigned before 6:00 pm.

Admission

  1. Admission to the Ceremony is solely open for holders of admission tickets.
  2. A confirmation letter will be emailed to you before 5 April 2010. If you have not heard from us by this date, please contact Ms Alice Yu or Yan Tam at 2857 8387 immediately.
  3. The confirmation letter will indicate your name, the external award(s) you have received and the allotted seat number which also represents the order that you will be presented to the Vice-Chancellor or his representative on stage. You must bring this confirmation letter with you on 10 April, 2010.

Dress Code

  1. The Ceremony is a formal event. All attendants are required to be dressed in business attire.

Notes to Award Recipients:

  1. In Loke Yew Hall, all awardees should be seated according to the allotted number specified in our confirmation letter. At the Ceremony, they are required to have their confirmation letter ready for going up onto the stage to receive commendation. For receiving commendation, the awardees will be asked to line up to the stage as instructed by our staff, hand in the confirmation letter to the Floor Manager, and wait alongside the staircase of the stage till their names are presented.
  2. Upon commendation, award recipients should proceed to the Vice-Chancellor / Dean of Student Affairs / Director of Institute of Human Performance or their representatives, shake hands, receive a prize and descend from the stage. They should then return to their assigned seat as instructed by our staff. When the Ceremony is about to conclude, awardees will be arranged in groups to have photos on the stage, which will take about 15 minutes.
  3. Professional photographers will take photo of each award recipient when he/she is on the stage. These photos will be posted at the official website of the Ceremony for downloading.

Application for Guest Tickets

  1. To secure seats for your guests, please visit here for online registration before 31 March 2010. Late registration will not be processed. Due to limited seats, each award recipient is entitled to the following number of admission tickets. If the number of applications received exceeds the number of seats available, students winning international awards will be accorded the highest priority, followed by regional, national and local.

  3. A confirmation letter with the number of guest tickets available to you will be emailed to you before 5 April, 2010.
  4. Your guests with tickets are required to arrive at Loke Yew Hall at 6 pm for registration. Late comers will be admitted to the venue only when there is a suitable break during the Ceremony.
